You will assist the Finance and Admin Director in a wide array of general office administration duties and human resource function. Some of the functions you will undertake but not limited to are:
RESPONSIBILITIES
Admin Function:
- Handle and maintain general office administration such as issuance of staff access card, keys
- purchasing of office stationery and office supplies
- Oversee office maintenance (general upkeeps of computer / laptop Singapore / printer / office equipment assets)
- Management of office corporate accounts issuance for Factiva, BT conferencing, SPH etc
- Liaise with Contractors on facility management and supervising office cleaner
- Receptionist duty and Appointed office fire warden
- Travel arrangement for all staff including Hotel booking if required
- Logistical planning of media and workshop trainings, liaising with 3rd party supplier etc (if required)
- Gebiz monitoring , reviewing of published tenders and uploading of RFP submissions)
- Updating and coordination of office Business Continuity Plan (BCP) procedures
- Various ad hoc duties as and when required
HR Function:
- Assist with general HR responsibilities
- Prepare employment contracts, confirmation and all HR related letters
- Assist in recruitment, employee communications, training and development admin support
- Performance management process/performance improvement process: assist in ensuring timely execution and follow-up
- Handle immigration matters eg. Application / Renewal / Cancellation of Work Passes
- Create, update and maintain staff personal files, HR data and the HR filing system
- Administration of staff leave and medical records, insurance enrolment/termination and claims
- Complete various statutory surveys and reports required by MOM, CPF Board, etc
- Coordination and setup of newcomer work station eg IP phone configuration and desktop/laptop/monitors as well as clearance for leavers of IT equipment
REQUIREMENTS
- Diploma in Business or HRM or HR Certification
- 3-4 years’ experience in Administration and HR Function
- Familiar with Singapore labour law, HR practices and legislation
- Proficient in MS Excel and MS Word, SAP.
- Resourceful, discrete, organized with good administrative and interpersonal skills
- Independent worker and take ownership of the responsibilities
- Flexibility to attend to work overtime when necessary
- Excellent written and verbal communication skills
- A team player with desire to strive for continuous improvement in a fast-paced work environment
